Helping Hands Disability Care ("we", "us", "our") is committed to protecting your privacy and handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). As a registered NDIS provider, we also handle personal and health information in line with the NDIS Code of Conduct's requirement to respect the privacy of people with disability.
This policy explains what personal information we collect through this website, how we use and store it, who we may share it with, and how you can access, correct or make a complaint about your information.
What information we collect
The information we collect depends on how you interact with our website:
- General enquiries (Contact page): your name, email address, phone number, how you're enquiring (e.g. as a family member, support coordinator or participant) and your message.
- Referrals (Refer Someone page): depending on the referral type, this can include the participant's name, date of birth, address, contact details, NDIS plan details (plan number, funding type, dates), diagnosis and support needs, the referrer's and any carer/nominee's contact details, and any supporting documents you choose to upload. Some of this — health information and information about disability — is "sensitive information" under the Privacy Act, which we only collect with your consent (given by ticking the consent option and submitting the form) and only to the extent reasonably necessary to assess and coordinate the referral.
- Aged Care referrals: similar contact and care-needs information, collected to connect you with our aged care partner, Trilogy Care.
- Job applications (Work With Us page): your name, contact details, role of interest and any information you provide about your experience.
- Automatically collected information: standard technical information (such as browser type and IP address) collected by our hosting provider, and by Google when this site loads Google Fonts from Google's servers.
How we collect information
We collect personal information directly from you when you fill in a form on this website. Where a referral is made by someone other than the participant (e.g. a family member, support coordinator or health professional), we collect the participant's information from that referrer, and we rely on the referrer to have the participant's consent (or lawful authority, such as a nominee or guardianship arrangement) to share that information with us.
Why we collect, use and disclose your information
We use personal information to:
- respond to your enquiry or referral;
- assess suitability for, and coordinate, disability or aged care supports;
- contact you about the outcome of a referral or application;
- meet our legal and regulatory obligations as an NDIS provider, including reporting to the NDIS Quality and Safeguards Commission where required; and
- consider and process job applications.
We only disclose personal information where reasonably necessary — for example, to support workers and coordinators involved in delivering your supports, to Trilogy Care for aged care referrals, or to regulators where required by law. We do not sell personal information, and we do not otherwise disclose it to third parties for their own marketing purposes.
This website uses Google Fonts, which may involve your browser connecting to Google's servers to load font files. We do not currently use analytics or advertising cookies on this site; if that changes, this policy will be updated accordingly.
Storage and security
We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification or disclosure — including secure storage of records and restricting access to staff who need it to do their jobs. Website form submissions are transmitted to our email/records system via our website host and form provider.
Access and correction
You can ask us for access to the personal information we hold about you, or ask us to correct it, by contacting us using the details below. We'll respond within a reasonable timeframe and won't charge you for making a request.
Complaints
If you have a concern about how we've handled your personal information, please contact us first using the details below so we can try to resolve it directly. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au, or with the NDIS Quality and Safeguards Commission at ndiscommission.gov.au for NDIS-related concerns.
Data breaches
If we become aware of a data breach likely to result in serious harm, we'll take steps to contain and assess it, and notify affected individuals and the OAIC in line with the Notifiable Data Breaches scheme.

We may update this policy from time to time. The current version will always be available on this page, with the "last updated" date shown above.
